Password and access hygiene for small business IT

Weak access control is one of the quietest risks in small business IT. Nobody notices it until an account that should have been disabled months ago gets used for something it shouldn't. Most of this is preventable with a short list of habits, not new software.

Why access hygiene matters more than password complexity alone

A long, complex password on a shared login that five people know is still a shared login. Access hygiene is about knowing exactly who has access to what, removing access the moment it is no longer needed, and making sure credentials are not quietly reused across systems that should be independent.

Common access mistakes on small business networks

  • One shared admin login for the router, NVR, or server that everyone uses
  • Former employees or vendors who still technically have access
  • The same password reused across CCTV platform, Wi-Fi, and admin panels
  • No record of who was given access to what, or when
  • Remote-access tools left enabled after a one-time support visit

A practical access hygiene routine

  • Give each person their own login wherever the system allows it
  • Keep one simple access list per client site: system, username, who has it, date granted
  • Review that list at least once a quarter, and immediately when someone leaves
  • Change shared credentials (router, NVR, Wi-Fi) after any staff change with prior access
  • Turn off remote-access tools as soon as the job they were needed for is finished
  • Use two-factor authentication anywhere it is available, especially email and remote access

Where this matters most in CCTV and networking work

Installers often set up NVR platform accounts, router admin logins, and remote-viewing apps during installation, then move on to the next job. If those credentials are never rotated or reviewed, the access created for a two-day install can remain open indefinitely.
